How to write an email? Netiquette or email writing style explained

Email is usually considered as an informal method of communication.
In recent times, due to the increased dependence of people on computers for the various works that is done including business transactions, emails are now being used as formal method of communication.


There are certain styles that must be followed while writing an email. They are as follows:

Precise:

1. Make the subject line precise. Do not make it look like an email itself. The email itself should also be short and simple.

2. Capitals: DO NOT type in capitals, unless it is necessary. Writing an email in capitals is like shouting. So unless absolutely necessary or required, do not type in capitals.

3. Files: Do not attach large files without the permission of the recipient. Large files can sometimes slow down the system. It may also stop other mails from being sent or received.

4. Compose off-line : Compose business emails offline. This will help you identify any mistakes in spelling or grammar that may have cropped up. It will save you a lot of embarrassment. Typing in a word document ....with the dictionary on is a great help.

5. Forwarding: While forwarding a message, add a line at the top with any comments that you may want the recipient to know.

6. Record: Think carefully before sending a email. It is a permanent message and is on print. It is not like a phone message that can be denied. So do not write an email when you are angry, which might make you regret later.

7. Check: Regularly check email. They are not like the office memo that is delivered on your table by someone.

Safety aspects on email:
1. Do not open an attachment on a mail
unless you are sure of the contents and you know the sender of the email. There are a lot of viruses that are being sent by email that cause a lot of damage to many computers. If you have to open an attachment sent by someone, use a scan with anti virus software before opening the attachment.
2. Update anti virus software: This will help prevent and quarantine any virus that may have entered the system without your knowledge.

These are some of the simple methods of saving your computer from viruses, and also tips to write emails. If these are adopted in your routine use of computer, it will benefit you by keeping your computer safe.
